SPEED-TO-LEAD
The 60-Second Rule: Reply Fast, Win the Client
In real estate, the agent who replies first usually wins the client. Not the best reviews or the fanciest branding — the one who was simply there first with a helpful answer.
Book Your Call →A buyer fills in an inquiry form at 9:03 in the evening. You see it at 10:15 after dinner and reply at 10:20. By then, two other agents have already texted them. Who do you think gets the showing?
In real estate, the agent who replies first usually wins the client. Not the agent with the best reviews, the fanciest branding, or the longest track record — the one who was simply there first with a helpful answer. Fast replies are the biggest edge most agents are missing.

The data on response time
The research on this is very consistent. Studies of online lead response — including the widely cited work by InsideSales and later work by the WAV Group — found that leads contacted within five minutes are far more likely to turn into clients than those contacted after thirty minutes. One often-quoted finding says leads contacted in under five minutes are up to 21 times more likely to become real prospects than those contacted after half an hour.
And it makes sense. A person who just sent an inquiry is sitting with their phone in their hand, thinking about moving. Five minutes later, they are still thinking about it. An hour later, they are watching TV. Tomorrow, they have forgotten your name — but they remember the agent who texted back right away.
Surveys keep landing on the same hard truth: most buyers end up working with the first agent who gives them a truly helpful reply. Not the best agent. The first helpful one.
Why solo agents lose on timing, not effort
If you are a solo agent or a small team, slow replies are not a willpower problem. You cannot answer a text within sixty seconds when you are in the middle of a showing, at a closing, working on an offer, or having dinner with your family. Nobody can reply instantly twenty-four hours a day.
And yet the buyer does not know you are busy. They just know that one agent replied in a minute and you replied in two hours. To them, fast looks like caring. Slow looks like you do not care, even when that is not true.
This is the part that hurts: you can be the harder-working, more skilled, more honest agent — and still lose the client to someone faster. The market does not reward effort. It rewards reply speed.
What “fast” actually looks like
Fast does not mean you personally drop everything. It means the lead hears from your business within a minute or two, every single time. In practice, that looks like this:
- Instant first touch. Within sixty seconds of the inquiry, the lead gets a personal-sounding text about the home they asked about.
- A real question. Not “thanks for your inquiry” — a question that is easy to answer, like “Would you like the full details and a showing time, or just the price history for now?”
- You take over when they reply. The moment they reply, you step in and have the real talk. The system opens the door; you walk through it.
The missed call is the silent killer
Here is a number worth sitting with: the majority of calls to small businesses go unanswered, and most callers never leave a voicemail. For an agent, every one of those is a buyer or seller who reached out and heard silence.
The fix is simple: an automatic text the moment you miss a call. “Sorry I missed your call — how can I help?” That one message saves talks that would otherwise be gone forever, and it costs you nothing to send. (Here is exactly how missed-call text-back works.)
How the system fixes it (without sounding like a robot)
The worry every agent has is fair: “I do not want to sound like a robot.” The good news is that these fast-reply systems do not sound robotic, because they do the one thing robots are good at — being instant — and leave the relationship to you.
Here is what a proper setup does while you are busy:
- New inquiry, instant text. Every portal, website, or social lead gets a personal-feeling text within a minute — nights, weekends, showings, all of it.
- Missed call, instant text-back. No more lost callers. Every missed call gets a message before they have even put the phone down.
- Smart follow-up. If they do not reply, the system follows up a few times over the coming days — politely, like a good assistant would.
- You talk to responders only. Your phone lights up when a real person replies. You spend your time on talks, not on chasing.
That is the whole game. You do not need to be faster. You need a system that is fast on your behalf, so the client you would have won anyway does not slip to the agent who happened to be free at 9:04. That is what our done-for-you follow-up system is built to do.
